JOB OBJECTIVE I.E. THE PRIMARY FUNCTION AND PURPOSE OF THE ROLE
This role assists HR Routines and in building and strengthening organization and people capability to cater to the future complexities and challenges. The role is responsible for managing the Office Administration, Service Providers (Security, Canteen), Daily Logistic for Associates using company transport, Time Management, Courier Management, Employee Welfare Activities, Guest – Travel & Stay The role is also responsible for managing various plant events (long service, various plant celebrations, annual sports & off sites.
KEY RESPONSIBILITY AREAS / DEVELOPMENTAL EXPERIENCES I.E. ALL ACTIVITIES PERFORMED TO FULFILL STAKEHOLDER EXPECTATIONS AND WHICH ENCOMPASS THE SPAN OF RESPONSIBILITIES MANAGED. IMPORTANT CHALLENGES TO GO THROUGH IN THIS ROLE AND WHICH ARE CRUCIAL TO BUILDING FUNCTIONAL CAPABILITIES.
1 Office Management & Employee welfare : 40%- Smooth interfacing and interaction with internal & external stakeholders, service providers to ensure on time and efficient service, & optimizing of operational cost.- Manage availability of PPE & Housekeeping suppliers Printing & Stationery – Manage supplies of Beverage Equipment (Hot & Cold Beverages)- Provide administrative support for various events (Parties, Get together, Off Sites, Plant events, Training programs)- Manage Courier services with external agency (inward & outward – documents & data management)- Logistics Management (Associate & Guest logistics)- Provide administrative support Guest (Travel & Stay of Associates – Air Tickets, Car, Forex, Visas)- Time Management – Monitoring & validating attendance data- Coordinate & support the CSR activities conducted by the plant- Vendor Management – Developing & coordinating with vendors- Effective cost control – Regular negotiations (Think EP Act OE)
2 Estate Management : 20%- Smooth interfacing and interaction with internal & external stakeholders to ensure on time, efficient, quality service and optimize operational effectiveness.- Fleet Management for associate transportation – Monitoring vehicle movement, conditions, compliance- Visitor Management- Coordination with Security, Garden, Canteen & House Keeping to manage day-to-day operations
